This Privacy policy explains how we, Sirius Medical (Sirius Medical System B.V.), use any personal information we collect about you, and how we are committed to making sure your data is kept secure and only used to help us provide you with good service.

What information do we collect?

We collect business specific information relevant to us, or information of you and/or your organization that you have consented and voluntarily leave on our website. This also includes public information available on the Internet.

From visitors on our website we process the following data:

Why do we process this personal data?

We use your personal data to provide the services you ask for. For example, for sending (personalized) e-mailings that we think are relevant to you. We use your information to inform you about other products or services offered by Sirius Medical, and to send you important invitations to participate in events related to the Sirius Medical product and service offerings. If you are a customer of Sirius Medical, we also use your data to provide updates or relevant quality information.

Your personal data will be processed by Sirius Medical for the following purposes:

  • To carry out the agreement(s) concluded with you, including invoicing
  • To comply with legal obligations (administration, retention, and tax liability)
  • To be able to communicate with you through different channels (telephone, mail, email, social, website, within our software) from both a service and marketing point of view
  • To adjust the content of our communication with you with what we think is relevant to you. For example, to inform you about new and/or additional products and/or services or to be able to show the most relevant advertisement for you
  • To help you with (support) questions
  • To improve our product and services

Your personal data is securely stored in our online marketing platform and will only be processed within the European Economic Area (EEA) or countries subject to an adequacy decision. The personal data is only accessible by a select number of individuals at Sirius Medical as defined by our internal quality procedures. We choose to use a third party, HubSpot: www.hubspot.com – an industry leading CRM platform, to manage our contacts, contracts and marketing communications list, however your information is not shared with any other entities.

Exchange with third parties

We will never provide, sell, rent, or lease your personal data to third parties unless we are legally obliged to provide data or if you have given your consent. For the performance of our services, we engage service providers. These are not ‘third receivers’ but ‘processors. These processors do not use the data for their own purposes and process the personal data only in accordance with Sirius Medical contract.

You always have the ability and rights to opt-out (unsubscribe) from our email marketing at any time. Under all circumstances, you can look up and change what personal information we hold on your profile. Both options will always be clearly marked at the bottom of our marketing email messages.

Data retention: how long will you retain my information?

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. After that, we will remove the information from our systems.

Changes to your data

It is important that the personal information we hold about you is accurate and current. Please keep us informed if your personal information changes during your working relationship with us.

We reserve the right to update this Privacy policy at any time, and we will provide you with a new Privacy policy when we make any substantial updates. We may also notify you in other ways from time to time about the processing of your personal information.

You can always request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you, corrected.

You can always request erase of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it.

You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing (see below).

You can always object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your situation which makes you want to object to processing on this ground.

You can always request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.

You will not have to pay a fee to access your personal information (or to exercise any of the other rights). However, we may charge a reasonable fee if your request for access is clearly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances.

What we may need from you

We may need to request specific information from you to help us confirm your identity and ensure your right to access the information (or to exercise any of your other rights). This is another appropriate security measure to ensure that personal information is not disclosed to any person who has no right to receive it.

Right to withdraw consent

In the limited circumstances where you may have provided your consent to the collection, processing and transfer of your personal information for a specific purpose, you have the right to withdraw your consent for that specific processing at any time. To withdraw your consent, please contact us. Once we have received notification that you have withdrawn your consent, we will no longer process your information for the purpose or purposes you originally agreed to, unless we have another legitimate basis for doing so.

If you are withdrawing consent from receiving email marketing communications, the option to opt-out (unsubscribe) is available in all Sirius Medical media emails.

Right to complain to a supervisory authority

You have the right to make a complaint at any time to local members of the European Data Protection Board (EDPB). The EDPB was established by the General Data Protection Regulation (GDPR). Anyone who receives an email from Sirius Medical must have given a clear and verifiable consent.

  • A box checked by the recipient on a form. It should be clearly stated that the recipient gives permission to approach him or her on a specific subject. Consent is not obtained through an entry in the Terms and Conditions or a Privacy Statement.
